Steps of writing a thank you letter

Step 1: Salutation

Beginning the thank you letter with an appreciation is the most essential thing in writing a thank you letter. Starting with dear person, dear sir is appropriate. For example

  • "Dearest __,"
  • "Hi, __,"
  • "My friend,"
  • "To my favourite _____,"

Step 2: Expressing gratitude sincerely

Thank you letter should be short and to the point which must express gratitude towards the receiver in a proper manner. The writer should be specific about what they are grateful for, describe the gift a little clear, and cherish.

Step 3: sharing a news

After expressing gratitude, it is nice to write another few lines about some important news or information to the receiver. The writer is also encouraged to as some questions about their life through the letter if the letter is a personal letter. For example, the write can write

  • "It was fun to catch up with you at the party. How are things going with Bobby's soccer team? He has natural talent, that boy. Leigh has been asking about him every day. We can't wait to see you this Christmas."
  • "Will you be returning to New York again soon? Next time, I want to take you to dinner at my favourite spot. It'll be nice to have a full-length conversation, rather than rushing to catch up backstage!"

Step 4: specific gift

If the letter contains any specific gifts that the write does not likes too much, he needs to show the sender that this gift is very important for them. For example,

  • "You are such a dear for coming to my opening night. It made me happy to see your bright smile in the audience. Knowing you were there helped calm my stage fright."
  • "I am very grateful for your assistance with my senior project this semester. You have a lot of students depending on you, and I really appreciate your taking the time to give me so much individual attention." 

Step 5: appreciation at the last of the letter

To complete things properly, the writer should write a proper conclusion, which will help them to strengthen their relationship and love. Following quotes can be used to complete the letter.

  • "Friends like you are the best part of this town, and I'm looking forward to the day we can sit down together and catch up."
  • "Your support throughout my career shows just how incredible of a friend you are. Your warmth, generosity, and kindness mean the world to me."
  • "You give the college a good name, and embody everything I love about my school. I hope I can one day pay it forward to students of my own."
  • "Anytime you want to talk, collaborate, or share a cup of coffee, you know where to find me. A conversation with you is something I could never turn down."
